Scheduling & Appointment Policy
Be Mindful of Missed Appointments
We ask that all students be mindful of missed appointments and the impact it has on fellow students. Missed appointments, and late or consistent cancellations, prevent us from scheduling another student that is in need of our services, as well as disrupts your own therapeutic process. In order to provide the highest quality of care for all of our students, please be aware of our scheduling and appointment policies.
No-Show Fee Policy for Therapy
Fee Amount: CAPS will charge a fee of $10, which would be applied for each missed therapy appointment where the student did not provide advanced notice of cancellation. The fee is not applied to the first missed appointment of each semester but a warning will be issued.
Payment Procedure: No-show fees are automatically billed to the student's account, and payment is expected within a timely manner to prevent any potential holds on registration.
Exceptional Cases: We acknowledge that emergencies and unforeseen circumstances may arise. Students facing such situations can request the fee to be waived, and CAPS will review each case on an individual basis.
Canceled Appointment(s) Policy
CAPS reserves the right to no longer reserve a student’s scheduled time slot if said student has canceled more than 50% of their scheduled therapy sessions over the course of a month.
Scope of Practice for Therapy Services
Eligibility for Services
- Enrolled full-time graduate and undergraduate students
- Not eligible:
- Part-time students; students on a leave of absence, including students whose status changes through course withdrawal(s)
- Faculty and staff
- CAPS staff can provide a single consultation session for students who are not eligible to assist them in finding community-based services
Services
- We can help most students, but we are not a full-service mental health clinic.
- The decision about whether or not the needs of the student fall within the scope of clinical care of CAPS will be made after an initial intake meeting with a therapist or on an ongoing basis, or if needed, after consultation with staff therapists and/or the directors. The professional judgment of CAPS’ mental health providers will govern the determination in a particular case.
- During periods of high demand for services, there may be an increased wait time to be seen by our therapists for non-crisis level appointments.
΢ÃÜÆƽâ Counseling & Psychological Services provides the following services:
Individual psychotherapy
Short term couples psychotherapy
Group psychotherapy
Psychiatric evaluation and medication management (short-term) through Mantra Health, a telemental health platform
Only available to students actively engaged in psychotherapy services at CAPS
Not available during the summer or breaks when the Counseling & Psychological Services is closed
Consultation services to assist faculty and staff with student mental health questions and issues
Education and outreach programming
Mental health screenings
Short-term crisis triage, intervention, and referral
CAPS staff strive to provide culturally competent, evidence-based care. Ongoing psychotherapy services are not time limited but are generally short-term in nature and therefore limited to difficulties that can be addressed in such a timeframe.
Limits of Service
We can help most students, but we are not a full-service mental health clinic. The following circumstances fall outside the services offered by CAPS and will be referred to an appropriate provider during the initial session, consultation, or as needed:
- Students who demonstrate a serious lack of motivation or engagement in treatment, as evidenced by poor attendance to appointments or lack of follow-through on recommendations
- Students who are currently engaged in therapy services in the community and do not end that treatment
- Issues requiring an intensive level of care such as needing to be seen more than once per week
- Students returning to campus after psychiatric hospitalization or other treatment requiring more support than short-term, weekly outpatient individual therapy (e.g. students discharged from hospitalization and referred for services such as IOP, partial hospitalization, DBT, or family-based therapy should seek these services from community-based providers with expertise in these areas)
- Students with active psychotic symptoms at risk for progressive deterioration of functioning and in need of intensive treatment for stabilization
- Students with a recent history of numerous suicide attempts, severe self-injury, or multiple psychiatric hospitalizations
- Students with significant or chronic disordered eating symptoms which require intensive outpatient or residential treatment and whose symptoms pose medical danger
- Anyone who is not medically stable or requires intensive, integrated, medical and psychological treatment.
- Significant or chronic substance use which requires intensive outpatient or residential treatment, detox, or hospitalization, or whose symptoms pose medical danger
- Students whose needs fall outside the clinical expertise of CAPS staff (see common clinical services list above)
- Students with a history of longstanding, seriously maladaptive interpersonal behaviors that result in severe relationship problems, who come to public attention due to their disruptive interpersonal approaches, require services beyond CAPS's scope of practice
- Students who engage in inappropriate, harassing, menacing, threatening, or violent behaviors towards ΢ÃÜÆƽâ staff or faculty including CAPS staff or other students. Students who engage in behaviors listed above during treatment to any CAPS staff will have their services suspended at CAPS and Campus Police will be notified
- Students who are seeking counseling because it is a requirement of a class or program of study
- Students seeking or attempting to meet requirements of court-mandated treatment, legal proceedings, employment clearance, or medical insurance documentation
- Assessment for learning disabilities, attention deficit and hyperactivity disorder (ADHD), documentation for service or emotional support animals, forensic evaluations, and/or other matters
In the event a student requires services not provided by CAPS every effort will be made to facilitate a referral to an appropriate provider. The CAPS therapists can provide referral options but the student ultimately decides if they will pursue those options.
